Edenspiekermann, the global design consultancy working with clients such as Red Bull, The Economist, and Google, is rapidly expanding across North America. 

To support this growth, we’re looking for an Office Assistant who will work with our leadership and Operations team, as well as play a key role in shaping the office environment and culture.

What you can expect

  • Performs administrative tasks for the C-level team such as managing calendars and booking meetings and travel, completing expense reports and other tasks as needed.
  • Responsible for the smooth running of our two US offices, Los Angeles and San Francisco.
  • Leads and completes all office-related administrative tasks such as distributing correspondence, managing deliveries, scheduling meetings, organizing, and office-related errands.
  • Greets and assists visitors when they arrive at the office.
  • Monitors grocery and office supply inventories and places weekly orders.
  • Ensures a welcoming and clean office environment (tidying the office before client meetings, etc.).
  • Supports the teams with any other office-related needs they might have.
  • Coordinates with landlord and other vendors on office maintenance and upkeep.
  • Coordinates with Operations Manager for planning and executing company & team events and other celebrations (birthdays, etc).
  • Assist with other projects, such as research projects, as needed.

Requirements

  • Proven experience as an office assistant, administrative assistant, or in a similar role. 
  • Experienced and proficient with managing calendars, booking & managing executive travel booking, and compiling expense reports.
  • Knowledge of office management practices and procedures.
  • Excellent communication and interpersonal skills.
  • Organized with the ability to prioritize and multitask.
  • Skilled and resourceful problem solver.
  • Effective gatekeeper and enforcer.
  • Proactive and takes the initiative to prepare for upcoming meetings, events and deadlines.
  • Experience with Google Workspace, Microsoft Office, and project management software, such as Asana, is a plus.
  • Meticulous attention to detail.

Work model

This is a full-time role at our office in downtown Los Angeles with one remote day per week.
